Sanctuary treats information with the same care it gives every customer's digital environment.

You should always understand what information we collect, why we collect it, how it is used, how it is protected and how you remain in control.

Information we collect

  • Enquiry form details you provide voluntarily.
  • Optional questionnaire responses, only if you choose to share them.
  • Project information exchanged during our work together.
  • Communication history between us.
  • Basic, anonymous website usage — only if you consent to analytics.

Why we collect it

  • Responding to your enquiry.
  • Preparing for our first conversation.
  • Delivering the services you have asked us to provide.
  • Improving how we welcome and support customers.
  • Meeting legal obligations that apply to us.

Sharing

Sanctuary never sells customer information. Information is shared only where necessary to deliver a service you have engaged us for, or where a legal obligation requires it.

Contact Form Data

Every field on the contact form has a purpose. Nothing is collected "just in case."

Required

  • Name — so we can address you properly.
  • Email — so we can reply.
  • Message — so we can understand what you are looking for.

Optional

  • Telephone — only if you prefer to speak.
  • Preferred contact method — so we respect how you like to be reached.
  • Preparation questions — only if you choose to help us prepare.

Section 04

Optional Questionnaire Data

The preparation questionnaire exists to improve your first conversation — not to qualify budgets and not to sell products.

Where you choose to share more, it helps us:

  • prepare thoughtfully for our meeting;
  • understand your context and priorities;
  • assign the most appropriate advisor;
  • make the first conversation more useful for you.

Section 05

CRM and Internal Classification

Internally, your responses may be organised to help us prepare — for example an indicative customer type, project type, priorities, complexity and a recommended advisor.

This is used solely to give you a better first conversation. It is never shared with third parties for marketing.

Section 06

Email Communications

When you submit the contact form you receive a confirmation email with the subject "We've received your story." Its only purpose is to confirm receipt, set expectations and reflect how Sanctuary works.

No marketing. No newsletters. No promotional content.

Section 07

Cookies

Cookies are small files a website may store on your device. This site uses only two kinds:

  • Essential. Required to make the site work — for example remembering your cookie choice itself.
  • Analytics (optional). Anonymous measurement that helps us understand which pages help visitors most. Only active if you consent.

You remain in control and can change your choice at any time below.

These terms describe the use of the Sanctuary website. They are intended to set clear, fair expectations rather than to intimidate.

Website use

You are welcome to browse, read and share the pages of this website. Please do not attempt to interfere with its operation or use it for unlawful purposes.

Information accuracy

Content is published in good faith. Technology evolves, and pages may change over time.

Availability

The website and services may occasionally change or be temporarily unavailable.

Limitation of liability

Standard limitation wording to be completed by Swiss legal counsel.

Governing law

These terms are governed by Swiss law. Jurisdiction: to be confirmed.

Changes

Sanctuary may update these terms over time. The latest version will always be available on this page.

Section 10

Intellectual Property

The website's content — including its text, illustrations, photography, logos and branding — belongs to Sanctuary unless otherwise indicated, and may not be reproduced without permission.

Section 11

External Services

Where the website links to third-party sites or services, Sanctuary is not responsible for their content or practices.

Where we work with trusted service providers to deliver our own services — for example secure cloud hosting — they act on our instructions and under contractual confidentiality.

Section 12

Swiss nFADP

Sanctuary aligns its handling of personal information with the Swiss Federal Act on Data Protection (nFADP), including:

  • lawful processing;
  • purpose limitation;
  • proportionality;
  • appropriate security;
  • reasonable retention;
  • the rights of the person the information relates to.

Full nFADP disclosures to be confirmed by Swiss legal counsel: formal wording pending review.

Section 13

GDPR (where applicable)

Where the GDPR applies — for example when we work with visitors or customers in the European Union — Sanctuary observes:

  • a clear lawful basis for each use;
  • consent where consent is the appropriate basis;
  • legitimate interest, balanced against your rights;
  • written arrangements with processors;
  • care around international transfers;
  • reasonable retention;
  • the rights described below.

Section 14

Data Security

Sanctuary protects information through practical, layered measures, including:

  • encrypted communication;
  • strong authentication and password practices;
  • least-privilege access;
  • reputable cloud providers;
  • regular backups;
  • prompt software updates;
  • continuous improvement.

We keep this description deliberately high-level and do not publish sensitive implementation details.

Section 15

Retention

Information is kept only for as long as needed for the purpose it was collected, or for as long as a legal obligation requires. Enquiries that do not become customer relationships are periodically reviewed and removed.

Precise retention periods will be published here once confirmed: retention schedule pending review.

Section 16

User Rights

In plain language, you may ask to:

  • see the information we hold about you;
  • correct it if it is inaccurate;
  • delete it, where we are not legally required to keep it;
  • receive it in a portable form;
  • withdraw a consent you have previously given.
